Understand the component

Dearness allowance, often shortened to DA, is a pay component associated with cost-of-living adjustments in applicable pay structures. The relevant employment terms or notification determine whether it applies and how it is calculated. There is no single DA percentage that this guide can apply to every employer.

Retain the source of a change

Record the applicable order or policy, the employee group, the calculation basis and the effective date. Distinguish the date a change is entered from the date it takes effect. If arrears are needed, show the affected periods rather than adding an unexplained adjustment.

Review connected calculations

A change in a wage component may affect other configured payroll calculations. Confirm the applicable treatment with the payroll reviewer. The Labour Bureau discusses basic wages and DA in its wages resources; use the relevant current rule for your establishment.

Test before the full run

Compare one affected employee’s prior and revised calculation, including any arrears. Retain the explanation and approval with the payroll run. This keeps a later query answerable without reconstructing the calculation from memory.
