EPF payroll checklist: records, review and reconciliation
Organise the information behind an EPF contribution run and retain evidence that the approved submission was completed.
Confirm the employee record
Check membership and identity information through the approved process, including the employee’s existing UAN where applicable. Avoid creating a second identity to work around a mismatch. Keep unresolved record issues visible before the filing cutoff.
Review the contribution basis
Confirm the applicable wage basis, coverage and configuration with the payroll owner. Rates, limits and exceptions should come from current EPFO guidance for the relevant circumstances. This checklist intentionally does not infer the correct deduction from gross salary alone.
Reconcile before submission
Compare the approved payroll register with the proposed contribution file. Explain joiners, leavers and changed amounts. EPFO provides employer facilities for returns and payment; keep the acknowledgement and payment evidence linked to the period they relate to.
Track corrections separately
A rejected row or failed payment needs an owner and a resolution record. After correction, recheck the period totals and retain both the original issue and the final outcome. A file prepared by payroll is not proof that a payment has completed.
