Start with processes employees repeat: updating a contact detail, requesting leave, retrieving an authorised document or tracking an expense claim. For each task, define the source record, who may change it and whether an approval is needed. A portal is useful only when the request reaches the team responsible for completing it.
Keep permissions specific
Employees should see their own permitted records. Managers need the scope required for approvals; payroll or HR staff may need different access. Test with representative roles, including someone changing teams or leaving the organisation. Do not expose colleague salary or identity documents through a broad shared folder.
Show what happened to the request
A leave request can show submitted, awaiting review, approved or returned for clarification. An approved request still needs to reach the attendance or payroll process where applicable. Explain the status in plain language and give the employee a way to correct missing information without opening a duplicate request.
Review adoption through actual completion
Pilot the workflow with a small team, observe where people get stuck and check the receiving system. Measure completed requests and unresolved exceptions rather than treating logins as proof of value. Dood can scope an HRMS workflow around your chosen system and agreed access model.
