Business email setup: from domain to shared ownership

Give each address a purpose
Use a business domain that you control. Create individual accounts for staff and a shared address for enquiries that should survive staff changes. An alias forwards to another mailbox; a shared inbox needs an explicit ownership process. Decide who covers the inbox during leave and who can change its settings.
Connect the domain carefully
Your email provider supplies the DNS records required to receive and authenticate mail. MX records route incoming mail. SPF, DKIM and DMARC support sender authentication and policy. Follow the selected provider’s instructions and inventory existing senders before changing a domain-wide policy. Test incoming and outgoing messages after configuration.
Connect conversations to a relationship
For CRM intake, capture the sender, subject, time and source message identifier. Use the identifier to avoid duplicate records when a message is retried. Assign an owner and next action. Keep private staff conversations outside shared CRM access unless the access model explicitly allows them.
Run a handover test
Send an enquiry from a separate account, assign it, reply and inspect what the second team member can see. Revoke a test user’s access and confirm that the shared queue still works.
