Document signing workflows: approval, signature and evidence
Prepare the right document, route it to authorised signers and retain a traceable completion record.
Approve the document before sending
Decide who approves commercial terms and which version is ready to sign. Store the source reference and remove superseded drafts from the active signing queue. A signature should apply to the intended document, not whichever attachment someone found in an inbox.
Distinguish signing from stamping
Electronic signing, digital certificates and stamp duty are different concerns. India’s CCA describes an eSign service framework using authentication and digital signatures. Whether a particular document or transaction needs stamping or another formality requires its own review; a signature image or a PDF annotation does not resolve that question.
Keep the status and evidence together
Track sent, viewed where available, completed, declined and expired as separate states. Retain the completed document and provider evidence with the business record under your access and retention policy. Verify that an integration can identify the final version and handle repeated completion notifications.
Test a declined request
The happy path is not enough. Try a wrong signer, an expired request and a document that needs changes after sending. Agree how the old request is cancelled and how the replacement is linked. Use an authorised signing provider appropriate to the document and jurisdiction.
