An employment-confirmation workflow should support an authorised review and communicate its outcome. A calendar date or automated reminder is a trigger to review the case, not a substitute for the decision. The applicable employment terms and rules determine what the organisation must do.

Establish the review record

Capture the employee, manager, relevant review date, agreed criteria and required inputs. Retain the source for the date. If the employment arrangement changes, have the authorised owner confirm the new review plan.

Ask the manager for specific evidence against the agreed criteria and give the employee the appropriate opportunity to contribute. Keep unfinished review inputs visible instead of treating silence as approval.

A hypothetical manager change occurs shortly before the review. The new manager may need input from the previous manager and the employee. Reassigning the task without transferring the evidence leaves the new reviewer with a deadline but little context.

Control the document generation

Generate the letter from the approved outcome. Check the identity, dates, signatory and any authorised change to terms. Avoid selecting a positive confirmation template merely because it is the default option in the software.

An amended decision should trigger a reviewed replacement, with the earlier version retained in the controlled history. Restrict document access to the people who need it for the process.

Test overdue and changed cases

Include an overdue review, an absent manager and a corrected date in the pilot. Define an escalation owner who can resolve the outstanding decision. The automation should help people notice and complete required work; it should not invent an employment outcome.

Measure cases awaiting inputs and approved decisions awaiting communication separately. That distinction tells HR whether to improve review coordination or document delivery.
