Credit notes: keep adjustments traceable

Connect an approved adjustment to its original invoice and record how the resulting balance is resolved.

Begin with the reason for the adjustment

A returned item, an agreed price correction or another approved change may require an adjustment to an issued invoice. Start with the original invoice reference and a clear explanation. Do not silently overwrite the original transaction: the review history should show what changed and who authorised it.

Make the amount reviewable

Capture the affected lines, quantities, values and supporting evidence. For example, an invoice for ten units may need an adjustment for two returned units. Confirm the return and original pricing before preparing the document. Ask the responsible accountant to determine the tax treatment, required document fields and any reporting obligations.

Choose how to resolve the balance

An approved credit may be applied against an outstanding balance or handled through a separate refund workflow. Record that decision and connect any refund payment to the approved adjustment. A credit document and a bank payment are separate records; neither should accidentally be created twice when an integration retries.

Keep tax decisions separate from routing

This guide describes the operational handoff, not eligibility or deadlines for reducing tax liability. Confirm the current rules applicable to the jurisdiction and transaction before issuing a statutory credit note. Use review queues and stable source identifiers so the automation preserves the accountant’s approved treatment.
